Park Committee - Special Meeting

Meeting started at 6:00 pm.
In attendance: Roger, Mark, Ruth, Jeremy, Erin, Deb
Special Meeting Agenda was to review/discuss 2 revised bids by Lee Recreation and Burk Playground Equipment. Mark informed us that the bid had to be dropped by $1000 per Ted.
After reviewing the 2 redesigns, the committee agreed that Lee Recreation was the company that provided the best option for future add-ons and with the most activities for the money. Deb called Vern Lee to see what could be taken out to drop the cost and it was agreed to remove 2 swings and the spring rider at this time; if additional money could be raised, we would add the extra swings & spring rider.
Board Meeting Presentation:
Committee presented to the board later in the meeting. Key points that moved the committee to selecting Lee Recreation included the following:
Similarity between warranties on all 4 companies
Lee Recreation was able to drop the cost to $7418 and still have 8 play items available; the other companies would not have been able to remove pieces and still have several play items available.
Payment due 30 days after arrival
Lee Recreation was able to provide more activities for the money
A 35% decrease in overall cost of equipment if ordered by 3/19
Free Storage in Cambridge until ready to install
Volunteer installment; playground space is 43x76
After discussion and questions; board approved to purchase the playground equipment. Deb would place order by 3/19.
UPDATE 3/18:
Roger had received more than $3000 in addition donations towards the equipment for the Park. Deb notified the committee and contacted Ted to get an approval to order the swings and spring rider that was a part of the original proposal. Approval was given and the original proposal that was presented on 3/8/10 for $8500 was ordered. I n addition, a handicapped port-a-potty was purchased for the park.
Order was placed with Lee Recreation on 3/19/2010
Remaining 3 companies were notified of the committee decision.
